Privacy Policy

This policy explains how RCCG Beautiful Gate Glasgow ("we", "us", "the church") collects and uses personal information when a young person uses the Teen Zone app. Because Teen Zone is used by young people aged 13–18, this policy also explains the role of parents and carers. We are committed to protecting young people's privacy and handling their information responsibly.

1. Who we are

RCCG Beautiful Gate Glasgow is a registered charity in Scotland (Charity No. SC041799), based at 69 James Street, Glasgow G40 1BZ. We are the "data controller" for the personal information described in this policy, which means we are responsible for how it is used.

Teen Zone is part of BGG My Church App and can be reached at https://bggmychurchapp.com/teenlanding, for the young people of our church community.

2. Who can use Teen Zone

Teen Zone is for young people aged 13 to 18 who are already part of our church's youth community. There is no public sign-up: a young person can only access Teen Zone if they are already registered in our church membership records and their parent or carer has given consent (see section 6). We do not knowingly collect information from children under 13.

3. What information we collect

Information	Why we collect it
Name and email address	To identify the young person, sign them in, and communicate with them and their parent/carer.
Parent/carer name and email	To request and record consent, and for safeguarding communication.
Church group membership	To show the right groups, discussions and content for that young person.
Activity within the app	Attendance records, Bible-reading progress, discussion posts, and classroom notes the young person chooses to write.
Sign-in information	When a young person signs in with Google, we receive their name and email from Google to verify who they are. We do not receive or store their Google password.
Google Classroom content	If the young person connects Google Classroom, we display their announcements, assignments and materials. This is read directly from Google each time and is not stored by us.

4. How we use this information

To give the young person access to Teen Zone and the features relevant to them.
To record attendance, Bible-reading progress and group participation.
To enable supervised discussion groups and classroom notes.
To keep young people safe (safeguarding), including allowing designated safeguarding staff to review content where necessary.
To communicate with young people and their parents/carers about the youth ministry.

5. Our lawful basis (UK GDPR)

Under UK data protection law we must have a lawful basis for using personal information. We rely on:

Consent — a parent or carer consents to their child using Teen Zone before access is granted.
Legitimate interests — running our youth ministry, supporting young people's spiritual development, and keeping them safe, in ways they and their parents would reasonably expect.
Legal obligation / vital interests — where we must act to safeguard a young person.

6. Parental consent

Because our users are young people, a parent or carer is asked to give consent when a young person first signs in. The young person's account remains inactive until consent is given (or, in specific safeguarding circumstances, formally recorded by a Safeguarding Admin). A parent or carer can withdraw consent at any time by contacting us using the details in section 12, and we will deactivate the account.

7. Google Sign-In and Google Classroom

Teen Zone uses Google Sign-In so young people can log in securely with an existing Google account. When Google Classroom is connected, we request read-only access to that young person's own Classroom courses, announcements, assignments and materials, so they can be shown inside Teen Zone.

Teen Zone's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We only use this access to display the young person's own Classroom content within Teen Zone. We do not store it, sell it, use it for advertising, or share it with anyone else.

8. Who we share information with

We do not sell personal information, and we do not share it for advertising. We share information only with:

Our service providers who help us run Teen Zone, namely Microsoft (Microsoft 365 / SharePoint Online, where information is stored, and email delivery through Microsoft Power Platform), Google (sign-in and Classroom, as described above), and our church membership system (CHMeetings).
Designated church staff — youth leaders, teachers and safeguarding staff — who need access to carry out the youth ministry and keep young people safe.
Authorities, where we are required to by law or to protect a young person from harm.

9. Where information is stored

Information is stored within our Microsoft 365 environment. Our providers may process information in the UK, the European Economic Area, or other countries; where information leaves the UK, our providers use appropriate safeguards recognised under UK data protection law.

10. How long we keep information

We keep a young person's information while they remain an active member of our youth community. When a young person becomes inactive (for example, they leave the group), we delete their personal information within 6 months, unless we are required to keep certain records longer for safeguarding or legal reasons.

11. Your rights

Young people and their parents/carers have rights over personal information, including the right to ask for a copy of it, to have it corrected or deleted, to object to certain uses, and to withdraw consent. To exercise any of these rights, contact us using the details below.
